Privacy notice

This is what Sajim Traders collects when you use this site and the web platform, why, and who can see it. Sajim Traders is a Sajim Holdings company, based in Nairobi, Kenya. We do not sell your information and we do not run advertising.

What we collect, and why

Where a retention period says “to be confirmed”, we have not decided it yet.

Email address and password, when you create an account.
Why:
To sign you in and to send you messages about your application.
Who can see it:
Your email is visible to the People desk and above. Nobody can read your password: it is stored scrambled by our sign-in provider.
How long:
While your account exists. After that, to be confirmed.
Your name and phone number, when you sign up and apply.
Why:
So a person on the team knows who you are and can reach you.
Who can see it:
People desk and above, plus the Risk Desk when reading your work. Signed-in team members see names in the team directory.
How long:
To be confirmed.
Date of birth and a profile photo, only if you add them in your profile settings. They are optional.
Why:
To fill in your profile.
Who can see it:
The photo is shown to signed-in team members. Anyone who has the photo link can open it. Date of birth is visible to the People desk and above.
How long:
Until you remove them. Otherwise to be confirmed.
Your application answers: where you are based, occupation, hours you can give, trading experience, instruments, platform, style, risk per trade, any earlier prop firm, your biggest challenge and how you build a setup.
Why:
So the team can decide whether to take you further. We also keep the time you ticked each agreement and which version of the wording you saw.
Who can see it:
People desk and above, and the Risk Desk.
How long:
To be confirmed.
Market test answers: your calls, the price that proves you wrong, your targets and your written reasons.
Why:
To judge your direction and your reasoning. Calls are locked when you send them.
Who can see it:
The Risk Desk, People desk and leadership.
How long:
To be confirmed.
Setups and the screenshots you attach to them, during the tryout and after.
Why:
So the Risk Desk can review, publish or reject each setup, and record the result from where price went.
Who can see it:
Staff on the trading side can view setups. Anyone who has a screenshot link can open the screenshot. A setup is locked once sent and a recorded result is final.
How long:
To be confirmed.
Your M-Pesa registered name and the M-Pesa reference, when a payout is made to you.
Why:
We confirm who you are once, at your first payout, by the name on your M-Pesa line. We record the reference as proof of payment.
Who can see it:
Finance (CFO and CEO). Money records are append-only: a mistake is fixed with a new reversing entry, not by deleting the line.
How long:
Money records are kept and not deleted. Anything beyond that is to be confirmed.
Activity and security logs: when a password reset was requested, sent, opened or completed, with the IP address and browser details of the request.
Why:
To keep accounts safe and to show who did what.
Who can see it:
The Security desk and leadership.
How long:
To be confirmed.
Older applications may hold an ID image from before we stopped asking for one.
Why:
It was used only to check who the person was. We no longer ask for ID.
Who can see it:
The People desk and above, through a link that expires after 60 seconds.
How long:
Deleting these files is still to be decided.

Who can see it, by role

Access follows a person’s role on the team. Staff only see what their job needs.

You: Your own account, application, market test, setups and payouts.
Risk Desk: Setups, screenshots and market test answers, so it can review and mark them.
People and Operations: Applications and the staff directory, so they can decide who joins.
Finance: Payouts, M-Pesa names and references, and the money ledger.
Security: The password reset and activity log.
CEO and leadership: Everything above, to run the firm.
The firm’s investor: A weekly report of results. He has no login. What the report names is to be confirmed.

Who handles it for us

Supabase. Holds our database, sign-in and stored files (photos, screenshots, chart images).
Vercel. Hosts the website and the web platform.
Resend. Sends our emails, such as your confirmation and decisions. It sees your email address and the text of each message.

These services may store data on servers outside Kenya. Where exactly is to be confirmed.

What we do not collect

We do not ask for an ID document, and we do not take payment details to apply. Applying is free. We do not use advertising trackers on this site.

How long we keep it

Money records are kept and are not deleted. Setups are locked once sent, and a recorded result is final. For everything else the period is to be confirmed, as marked above. We will fill it in before we call this notice final.

Ask for a copy, a correction or deletion

You can ask us what we hold about you, ask us to correct it, or ask us to delete it. A person on the team will reply. Some records, such as the money ledger, we may have to keep, and we will tell you if that applies.
